Dear Artemis team, 

Welcome to the Spring and also to our March Newsletter!  I’m sure I’m not the only one who is looking forward to longer days and hopefully warmer days (I know—our winters are so harsh in Southern Cali 😉)  

Here’s a summary of the happenings for March and a brief review of what the team and company accomplished in February 2020.

1. The company completed the annual performance evaluations in February, and it seemed to go quite smoothly.  The management team hopes you found it to be an informative and helpful process which will assist in your professional growth and development and thank you for making it a productive one!   

 2. The company’s performance in screening/randomizations, and revenue/profit was lower than targeted, and it has been quite frankly a slow start to 2020. There are several probable reasons, including an ending to a large clinical study (Idorsia).  The leadership team is working diligently on executing on important initiatives in our patient recruitment and marketing methods, and we also have large projects slated to start in April—let’s all continue to work hard to make March as productive as possible to get the momentum from 2019 back!  For more details on performance, please click here.

3. Reminder of our 4 annual priorities for 2020: 

 

 

 

 

 

 

For March, there will be some major events targeting our Annual Priority 2: Deliver a WOW Employee Experience 

First, we will be conducting our 2nd Emplify engagement survey on 3/09/20.  As a reminder, this survey is an anonymous, company-wide survey which will let the leadership and management team know how we are doing after implementing action items from the prior survey.  This survey is extremely important for all of you to complete as it will guide us to build a highly engaged and performing team that loves to work at Artemis! 

 4. Second, we will be having our annual corporate retreat on 3/20/2020and this will be an all hands mandatory meeting.  We have finalized our guest speakers and facilitators for the event and it promises to be a fantastic event.  In the morning, we will have Steve Farber speak and go through an exercise with us as a team to promote customer service but with a twist. In the afternoon, Gary Ware will be facilitating group exercises which will build on the themes of the morning but in a way that promotes play.

We are very excited to be hosting this event with these accomplished speakers and are looking forward to being there with you all! 

To ensure a successful and cohesive retreat, please remember this is mandatory for all staff, including part time staff and investigators, and no PTO will be approved for that day, so please plan accordingly and work with your manager to ensure we can remove any barriers to your attendance! 

I look forward to a successful and productive March with you all and continuing the great work we all provide to our study patients, sponsors, and to each other!

Annual Company Retreat

Our annual all staff retreat is on Friday, March 20th, 8:45am-3:15pm at The Point in Mission Beach. Light breakfast, lunch, coffee and tea will be provided. Jeans are allowed and comfortable shoes are encouraged.

Artemis Newsletter – February 2020

Dear Artemis team,           

Well, we’ve got the 1st month of 2020 under our belt and are on to February! Here’s a summary of the happenings for February and a brief review of what the team accomplished in January 2020.

  1. Thank you all for a productive town fall meeting on 1/24/20 with some great questions! Click here to review the slides or here to see the entire recorded meeting.

At this meeting we also discussed and revealed the 4 annual priorities for 2020:

  1. Annual Priority 1: Deliver a WOW Patient Experience
  2. Annual Priority 2: Deliver a WOW Employee Experience
  3. Annual Priority 3: Develop a Kick Ass Patient Recruitment Platform
  4. Annual Priority 4: Virtual Trials exploration

You will be seeing us refer to these priorities throughout the year so you can see how the company is tracking.

  1. It’s annual performance review time, and the first half of February will be spent with you and your manager/supervisor sitting down and discussing the review in person. This is also the time when we perform compensation reviews. Please remember, our goal at this annual review is to have a formal meeting where you and your manager can meet to assist in your development for a successful career at Artemis.
  1. The executive and management team have started to meet with you as a team and will continue through February to review the specific Emplify engagement survey results for your department and/or site. The goal from this meeting is for your manager to have an action item to take and work on through the next survey period in March 2020, so that we can continue working towards building a highly engaged team that loves to work at Artemis.
  1. Finally, although it’s early, we will be having our annual corporate retreat on 3/20/2020 and this will be an all hands meeting. The executive team will be planning the event in February to ensure another successful event. Additionally, we will remove the planned April town hall and plan to consolidate the town hall into the corporate retreat. To ensure a successful and cohesive retreat, please remember this is mandatory for all staff, including part time staff and investigators, and no PTO will be approved for that day, so please plan accordingly and work with your manager to ensure we can remove any barriers to your attendance!

We are in the process of developing social media pages dedicated to informing the community. They will not be Artemis-branded, the comment section will be turned off, and they each will focus on the latest news specific to an indication.  Our goal is to become a trusted source of information for those who suffer from those conditions, grow our follower base, and promote our studies when appropriate.

How can you contribute? Please share any article, blog, report, statistic, event promotion, etc., with the marketing team (marketing@artemis-research.com). The team will curate the material to make sure that we use ethical material from reliable sources, and we’ll post on our social media channels. We are shooting for daily updates for the time being. In January Dr. Patrick instructed a Lunch-N-Learn class at RI International, a center offering services in crisis, health, recovery, and consulting. The topic for the class discussion was “Living with Your Diagnosis.”

Artemis Newsletter – January 2020

Dear Artemis team,

Happy New Year and hello 2020! I hope you all had a wonderful holiday season. I’m pleased to present to you the first newsletter of the year.    

We are starting out 2020 with a bang, and there are quite a few initiatives already underway for January.  Here’s a summary of the happenings for January and a brief review of what the team accomplished in December to finish out 2019. 

  1. It’s annual performance review time, and we will be moving the process to an electronic one housed in our payroll system, iSolved.  We believe this will make for a more efficient process for all parties.  All of you will be receiving the email to begin your self eval on January 6th, and we are planning to complete the in-person evals by mid-February.   
  2. Our next Townhall meeting is coming up on January 24, 2020, and I hope all of you will attend—there is going to be a lot of exciting information we will be sharing so we look forward to that event! 
  3.  We have the Emplify engagement survey results, and I’m happy to say that we had almost 100% response rate—thanks to all of you!  The leadership team will be reviewing the results with an Emplify coach in mid-January, and we will be sharing the results and next action steps at the Town Hall meeting on 1/24. 
  4. The leadership team will be kicking off with their first off-site 2020 strategy meeting on January 17-18, and the managers will be joining them on 1/18 for a special workshop.  We will be sharing the fruits of this meeting with you at the Town Hall meeting on 1/24 (I told you this Town Hall meeting is gonna be jam-packed with good stuff!) 
  5. I’m pleased to announce we will begin in January to train a handful of the operations team to become “certified” trainers on certain topics. We’ve created quite a bit of lessons within our new training platform, Lessonlyso we want to make sure the content is useful first before we roll this out to all of you.  We will be sure to keep you updated on how this develops. 
  6. Our Annual Holiday Party was on 12/13/2019, and it was a blast! I personally think it was our best one yet— click here to see some pics of the celebration. 

I’m looking forward to having a successful and fun 2020 with you all and continuing the great work you provide to our study patients, sponsors, and to each other!

Dear Artemis team,

Welcome to the December Artemis Newsletter and also the final newsletter for 2019! I hope all of you had a wonderful Thanksgiving break and enjoyed time with family and friends. Don’t look now, but we still have the last month of the year to finish up this decade—weird to think of, yeah?

November was a bit lower-performing due in part to the holiday season as we can sometimes expect, but we still accomplished quite a bit as a company. Here’s a summary of the happenings for December and a brief review of what the team accomplished in November:

1. Our Annual Holiday Party is coming upon 12/13/2019! I certainly hope each of you can make the time to come to this important company celebration—it’s a wonderful time for all of us to relax and party together, eat some good food, and drink (a little 😉). It’s important that we work together as a team and celebrate together as a team, so I am looking forward to seeing you there. In addition, we will be having our end of the year awards and topping it off with a casino night—what’s not to like?!

2. The executive team had it’s end of the year off-site strategy meeting in November, and we are excited to share the company-wide goals for 2020 with you soon. Additionally, the company’s budget has been completed. We will plan on sharing these at our next scheduled town hall meeting January 24, 2020.

3. Emplify, the 3rdparty partner Artemis is working with, will be launching its first engagement survey to our team 12/16/19. As a reminder, this is a crucial formal first step in making sure each of your voices are truly heard and we can get open and honest feedback via this vendor, so we can continue our mission to build a company and culture where employee satisfaction and engagement are the top priorities.

4. Artemis began to conduct more cross-departmental meetings beginning in November. The aim for us as a company is to have full transparency and communication throughout the company as we continue growing. The launch of the marketing/operations meeting as well as the financial/operations meeting was a step in this direction. Thanks to Ali for spearheading this important initiative!

5. Ali, Brittany, Delaney, and I are working diligently on creating and building out training pathways that we are aiming to launch at the beginning of the new year. These are coming along nicely, and we believe we are on track for the January 2nd launch of the training pathways and certifications…we will keep you posted!

I hope you all have a wonderful December while celebrating the holiday season and continue the great work you provide to our study patients, sponsors, and to each other!

Karuna Press Release

“Karuna and Syneos Health would like to take a moment to share the November 18, 2019 press release from Karuna, regarding the KAR-004 final study results. As you can see, we had a very successful study. We wanted to send a special thank you to all Investigators and Site Staff for your hard work, diligence, quality, and perseverance throughout the KAR-004 study. Please take a moment to congratulate yourselves as this success could not have been achieved without each and everyone one of you. This is a testament to a great team. We look forward to future endeavors with amazing sites like yours.  Again, thank you for participating in this important and successful trial.  At some point in the near future, we will send out meeting invites to review the study data details.”

Purple Boat Float

 

Sunny Martinez and Dr. Katrina Patrick participated in the Purple Boat Float, an event that honors those who have been affected by dementia. Participants dedicate a candle lit inside a purple paper boat and set it off across the lake in honor of those affected by the disease. This one took place on November 10th at the Fairmount Park in Riverside.

Artemis Newsletter – November 2019

Dear Artemis team, 

Welcome to the November edition of the Artemis Newsletter!  October seemed to blow by, and the weather is starting to remind us that is indeed fall.  I hope you all enjoyed the month and the Halloween festivities…..now on to my personal favorite holiday, Thanksgiving (overeating, napping, and watching football—doesn’t get any better than that IMO).   

October was a fun and productive month for the company.   

Here’s a summary of the happenings for November and a brief review of what the team accomplished in October: 

1. Members of the leadership team attended a business conference in mid-October, and came back feeling inspired to continue on the path we have embarked on of improving employee satisfaction and engagement—in fact this was the recurring theme at the conference. As a result of this conference, we have teamed up with a 3rd party company, Emplify, which will be working with the entire company to make sure all of our team is feeling both satisfied and engaged with the work we are doing, and to get to a point where you all LOVE working at Artemis!  Stay tuned as you will hear more about this in December onwards.

2. Most of the company is now using BOX! Great job to all of you for working on making this transition I can appreciate that this can take a little bit of getting used to for some of you, but I       hope you will find this system as powerful and useful as it can be. Please continue to work on the platform, and we will continue to try to improve anything you bring us feedback on, so we can ensure every team member finds it helpful.  You can also celebrate that this will be my last mention of BOX in the newsletter 🙂 

3. Beginning November, Brittany, Ali, Delaney, and I will be working on the initial buildout of the training platform which will eventually become Artemis University—this includes creating the pathway for Certified Trainers, which will be the initial priority for the upcoming month. 

4. As a reminder, the leadership team has begun working on the budgeting and planning for 2020.  If you have any feedback or thoughts on items you believe can help you and/or the company, please feel free to provide this input to myself or your managers….we would love to consider these while constructing the budget. 

I hope you all have a wonderful November and Thanksgiving Holidays, and continue the great work you provide to our study patients, sponsors, and to each other!

NAMI Walk

In October Artemis participated in another walk to benefit NAMI, National Alliance on Mental Illness. Thank you to all who took a stand to support mental health resources!

Rachel’s Women’s Center Drive Update:

 

Thank you to everyone who participated in the women’s shelter donations drive! We had an excellent donations turnout, great job giving back to the community! The site that generated the most donations and won the pizza party is San Diego.

 

 

 

Fifty & Better Health Fair: Mental Health First Aid

Artemis participated in the Fifty & Better Health Day! The event was coordinated by the Janet Goeske Foundation, a non-profit  committed to improving the quality of life of those aged 50 & Better.

Artemis Newsletter – October 2019

Dear Artemis team,

Our October Newsletter is here! This is the time of the year when I find it’s essentially impossible to eat healthy, so I guess you just have to go with the flow and finish the year with a full stomach and a bang (or a whimper)—maybe start by eating candy only every other day to show some self-control. I hope you all are ready to begin the fall season, as it’s continued to be a busy and productive year for Artemis.

Here’s a summary of the happenings for October and a brief review of what the team accomplished in September:

 

  1. Artemis had its first Town Hall meeting in September, and I believe it was a big success! I’d like to truly thank you all for being active participants and asking excellent questions—that is what makes a meeting like this successful! For those of you who were not able to attend, don’t worry, we’ve recorded the meeting if you would like to see it: https://app.box.com/s/805plnhpt59fhkagkvq2dgx6825j10sj And remember, we will be conducting the Town Hall meetings at the end of each quarter, so the next one will be in January 2020.
  2. Probably the most memorable part from the Town Hall meeting is that as a result of the great work you all have done this year, we will be giving Monday 12/23 as an additional PTO day! If you have already requested this day off, please work with your manager to delete that request.
  3. The leadership team will begin working on the budgeting and planning for 2020 starting in October. This is a great time for us to receive feedback as to what each of you feels would be beneficial for us to consider for the next year in terms of benefits and other perks. Remember, we are committed to making this company a place where you absolutely LOVE to work, and to get there, we will truly need your input and feedback to help us all succeed in this. If you have thoughts, please send to Ali, Jacquie, me, or to humanresources@artemis-research.com and we will put it all under serious consideration.
  4. Some of you have had the opportunity to meet with our HR Coordinator, Delaney Patterson. In this role, one of Delaney’s mission is to assist the managers and ensure the team has a consistent and helpful contact for employee issues. Now that Delaney is settling in, she will be coming to each location to more formally introduce herself to you and also review the Employee Training Fund program in more detail. She is eager to meet you all!
  5. Ali has been working with the operations team to migrate over to BOX—the folder sharing software which allows easier collaboration. Thank you to Ali and the volunteers who assisted in migrating all that content over—no easy feat! We are planning on going live with BOX for operations in October.

Walk to End Alzheimer’s

The Artemis Riverside team participated in the 2019 Walk to End Alzheimer’s – Riverside, CA. Our participation helped raise awareness and funds for Alzheimer’s care, support, and research.

 

Donations Drive to Rachel’s Women’s Center

Artemis will be participating in a donations drive for the Rachel’s Women’s Center from September 30th to November 1st! Donation bins will be provided at all three sites in the break rooms. With the holidays quickly approaching, each donation counts! Please aid us in making this donation drive a successful one.

Clinical Operations Q4 Bonus Structure Roll-Out

We are rolling out a bonus structure for Q4 around Screening for Roll-Over Patients. The goal is to increase revenue by establishing a bonus structure for when existing patients are successfully screened into another study. This is something we want to test for one quarter to see if this increases our ability to screen and retain existing patients. Here are the eligibility criteria:

  1. All coordinators and research assistants are eligible for this bonus
  2. The existing patient has to have screen failed or completed a prior study within the last 30 days. If they dropped from a study approval from an Investigator is required before you can schedule them as a screen in another study. There is no time limit on when the screening can be scheduled (for example, if you want to screen them in a CNS study and they have to wait 60 days before they are eligible to screen, as long as they are scheduled for that screen within 30 days you are eligible for the bonus)
  3. Patient successfully signing the ICF will be required before the bonus is paid
  4. The person eligible for the bonus is the person who scheduled the Screening Visit 1
  5. Bonus amounts will be paid in the second paycheck of the month for the month prior
  6. Screening Bonus Amount is $50; timeline is for appointments scheduled starting tomorrow October 1st through December 31st as our initial test!

September Screening Goals

We rounded off September with 99 screens, beating our target of 94! Four of six divisions exceeded their targets. A big shout out to all the sites for contributing to pushing us over the top for September! Thank you for all you do to support each other, our patients and deliver to our Sponsors.

CEO Remarks

Dear Artemis team,

You know summer is winding down when you start to see Halloween already being promoted—too soon in my opinion, but might as well embrace it!  I hope you had a nice summer and were able to get some rest and breaks during the summer months.  I’m excited about the things the company accomplished in August and has on the plate for September.     

Here’s a summary of the happenings for September and a brief review of what the team accomplished in August: 

  1. As most of you know, we conducted our first employee Net Promoter Score (NPS) score, spearheaded by Ali.  We are all very appreciative that we had an above 80% response rate and the comments and feedback are very helpful.  We will be sharing this with you all and also work on addressing the items expressed.  The purpose of conducting this and future surveys is to create a company that you all believe is a place you LOVE working at—this is the goal, and we are committed to achieving this, so please continue to provide the feedback and work with the leadership team to create that kind of company. 
  2. You asked and we listened—Some of the feedback we have received is to improve upon the communication from the corporate team.  I’m excited to announce that we will be starting a company Town Hall forum, whereby the leadership team will be conducting a meeting with the whole company to provide updates and also be available to answer ANY questions that you may have.  We will be conducting our first town hall meeting based in San Diego, and have San Marcos and Riverside video into the meeting, and for future meetings we will rotate the locations.  More details will be coming 1 -2 weeks prior to this meeting, so stay tuned! 
  3. I’m also pleased to announce that we have kicked off formally participating in the Employee Training Fund program.  This is a California program which reimburses the company for the training that is provided to all employees.  These funds will be used for creating and enhancing the training program for all employees.  You will all start seeing training logs for any training that is done, so please ensure to sign off on these as they come to you. 
  4. The company has finally moved over to SPLICE as our new IT support provider and we are aiming for the entire company to have access and work within BOX by the end of September.  Ali and Nadia will be working with you all to ensure a smooth transition.

Reputation Management Initiative

On 8/22 we went live with an initiative to gain feedback from our patients and improve our online reputation scores on Google, Facebook and Yelp. Our first rave review came in last week for the San Marcos team with a score of 10/10! You will be hearing more about how you can contribute to these efforts at our upcoming town hall meeting.

Reminder: Clocking In and Out for Lunch

Do your best to take lunch before your five hour mark! We care about your sanity and want to make sure you are getting a well-deserved break in the middle of the day. If you cannot clock out before your five hours, please let your manager know why. If you do need to work through lunch, do not clock-out. We want to ensure your timecards reflect the actual hours worked so we can manage everyone’s time effectively and adjust schedules as needed.

Holiday Scrubs!

We can now wear holiday themed scrubs the business day before a holiday! And of course on the actual holiday if required to work.

Acurian Campaign Shout-Out for Jeanne Pun

Jeanne Pun, our Patient Recuitment Specialist, has been working diligently on recruitment for our Insomnia studies including Idorsia ID-078A301. She was given a shout-out for her tremendous effort for Idorsia on their Acurian recruitment portal. Due to Jeanne’s focused efforts, we are one of the top performing sites. Thank you Jeanne for all of your hard work!

 

August Screening Goals

We ended August with 88 screens which 89% to our goal for August. Our new goal for September is 94. We have 20 screening days in the month starting today.  Let’s make it a great month and end the 3rd quarter strong!

CEO Remarks

Dear Artemis team,

We had a fun time at the Annual Summer picnic in July, and it was great to see all the kids, families, and pets enjoying themselves.  July was a hot month for both the country and for Artemis—nice work to all of you! I’m pleased to share with you the August 2019 Newsletter.  Here’s a summary of the happenings for August:

  1. I’m very excited to announce the addition of two team members to the corporate office—Ali Gerritsen as the VP of Operations, who started July 29,2019 and Delaney Patterson, our new HR Coordinator who will be starting August 5th, 2019.  Both will be a welcome addition to the company and promise to continue the successful growth of the organization while keeping the core purpose and values alive and at the forefront of our actions.
  1. Artemis has been approved to participate in the California Training Fund program.  This program assists the company financially to implement training programs for all our team for the next 2 years.  I’m eager for us to now start looking at ways to improve and further formalize our training plans for each team member to develop professionally.
  1. I may be sounding like a broken record, but we will changing the roll out of BOX, (the file sharing software service) so that certain departments will first begin working with it, and then targeting a full launch to sometime end of Q3 or beginning of Q4.  The Patient Recruitment and Marketing team has already begun to work within BOX, soon to be followed by the rest of the corporate team.  We want to make sure we are rolling this important tool out properly rather than rush, so that’s the reason for the delays…coming soon though!
  1. Finally, the IT service provider formally switched over to SPLICE on 8/1/19.  There is no real change you will see except for a chat help desk that will soon appear on your desktop for any IT service support. There is a 1 month overlap with Skyriver IT for August, but we ask to start working with the SPLICE team from August 1st on to become acquainted with them.

Big Sister League of San Diego

Claudia Camacho, Patient Concierge Lead, and Angela Strigen, Recruitment Relations Specialist, visited with the women of the Big Sister League of San Diego. Big Sister League of San Diego provides supportive housing for women living with mental illness, homelessness, trauma, and/or domestic abuse and assists residents through services and programs designed to encourage confidence, self-esteem, and independence. Claudia spoke with the women of the house about Artemis Research, our current studies offered at our San Diego site, and any indications the women were interested in. Continued outreach not only brings awareness about Artemis Research to the local community, but also can help members of the community find the care and help they need.
